Tracking is useful when it changes behavior. A perfect spreadsheet that only counts submissions does not explain where opportunities come from or why they convert.
- Track qualified and verified applications separately.
- Attribute outcomes to source and fit tier.
- Use weekly cohorts instead of reacting to one rejection.
Start with reliable states
Use clear stages: discovered, qualified, submitted, acknowledged, contacted, interviewing, offer, rejected, withdrawn and closed. Store the timestamp and evidence for meaningful transitions.
Measure the funnel
Useful ratios include receipt rate, reply rate, screen rate, interview rate, offer rate and median days between stages. Segment them by source, seniority, location and fit tier.
- Qualified applications per week
- Replies per authoritative submission
- Interviews per source
- Follow-up response rate
- Time to first human contact
Diagnose the bottleneck
Low receipts suggest form or logging problems. Receipts without screens point to targeting or resume evidence. Screens without later rounds point to positioning or interview performance. Late-stage losses deserve role-specific review rather than more volume.
Common questions
What counts as an application?
Use an authoritative ATS confirmation, employer email or equivalent receipt. A prepared form or automation click should not count.
How soon should metrics influence strategy?
Review weekly, but wait for a meaningful cohort and normal employer response time before drawing conclusions.
